Senior Accounting and Operations Specialist

Position Summary: 

Working under the Assistant Controller, the Senior Accounting and Operations Specialist is responsible for the accurate and timely processing of vendor invoices and payments while ensuring compliance with company policies and internal controls. This role primarily supports day-to-day accounts payable operations, including invoice review, coding, reconciliations, and vendor communication, and assists with month-end close activities and reporting. The Senior Accounting and Operations Specialist works closely with internal departments and external vendors to resolve discrepancies and maintain efficient, well-documented payables processes. 

 

Essential Duties and Responsibilities:  

  • Perform accounts payable duty for various legal entities and oversee daily accounts payable operations, including invoice processing, coding, approvals, and payment execution. 

  • Ensure timely and accurate processing of vendor invoices in accordance with company policies and payment terms. 

  • Serve as the primary escalation point for vendor inquiries and dispute resolution 

  • Manage and prepare company expense card reconciliations 

  • Support billing and accounts receivable. 

  • Perform financial analysis including monthly variance analysis  

  • Assist in preparing journal entries and supporting schedules for the month-end close. 

  • Prepare and maintain monthly reconciliations for key balance sheet accounts including AP, accruals, and other assigned accounts. 

  • Assist with audit preparation and participate in meetings with the accounting department 

  • Ad hoc projects as needed 

 

Education and/or Work Experience Requirements:  

  • Associate or Bachelor’s degree in accounting, or related field; equivalent experience may be considered.  

  • 3-5+ years of progressive experience in accounting or finance, with at least 5 years in nonprofit accounting preferred (Association, Foundation, or similar) 

  • Experience managing and communicating with vendors 

  • Proficiency with excel is preferred 

  • Customer service mindset
