Payroll Clerk

JOB SUMMARY

Compiles payroll data, calculates employee wages and deductions, and maintains payroll records by performing the following duties personally.

ESSENTIAL DUTIES and RESPONSIBILITIES

  • Compiles and records payroll data such as hours worked, taxes, insurance, and union dues to be withheld, and employee identification number from employee time records.
  • Prepares computer input forms, enters data into computer files, or computes wages and deductions and posts to payroll records.
  • Discusses time card discrepancies with appropriate supervisor, and corrects records to ensure accuracy of payroll.
  • Records data concerning transfer of employees between departments.
  • Prepares and issues paychecks for hourly and salaried employees, submits checks to Comptroller for signature.
  • Prorates expenses to be debited or credited to each department for cost accounting activities.
  • Prepares periodic reports of earnings, taxes, and deductions.
  • Prepares quarterly payroll returns for Social Security reports.
  • Prepares year-end W-2 employee forms.
  • Maintains absentee, vacation, and other time related records.
  • Maintains Workers' Compensation records.
  • Maintains cleanliness of work area and equipment.

SUPERVISORY RESPONSIBILITIES

This job has no supervisory responsibilities. Conduct and leadership responsibilities should be carried out in accordance with company policies, procedures, safety, and applicable laws.

EDUCATION and/or EXPERIENCE

High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience.

LANGUAGE SKILLS

Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information to one-on-one and small group situations to management, outside resources, and other employees of the organization.

MATHEMATICAL SKILLS

Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.

REASONING ABILITY

Ability to apply common sense understanding to carry out detailed but uninvolved written or oral instructions. Ability to deal with problems involving a few concrete variables in standard situations.

While performing the duties of this job, the employee is occasionally exposed to moving mechanical parts, fumes, toxic chemicals, and heat. The noise level in the work environment is usually moderate. Some independent travel may be required.
